SAI Global Customer Conference

Situation: At SAI Global, we hosted our annual customer conference to showcase new products, share industry insights, and strengthen relationships with our clients. Despite the event's success, we wanted to promote future conferences more effectively and provide attendees with a dynamic recap of the highlights.


Task: As the Senior Technical Writer/Instructional Designer who collaborated with our Marketing Team to provide media support, I was tasked with creating a high-energy sizzle reel to capture the key moments of the conference and provide attendees with a memorable summary of their experience.


Action:

  1. Conducted a review of the conference schedule and identified key moments to feature in the sizzle reel, including keynote speeches, breakout sessions and networking events.

  2. Collaborated with our photography team, as well as performed as the event videographer along with my other two videographers, using Cannon DSL cameras, lighting equipment, and ZOOM microphones to ensure comprehensive coverage of the conference, focusing on capturing high-quality footage of both planned activities and candid moments.

  3. Selected an impactful music track, using royalty-free music from Audiojungle.net to set an energetic and engaging tone for the sizzle reel.

  4. Created a storyboard, highlighting the flow and key elements to be included in the reel.

  5. Edited the footage, using was created in AfterEffects and Camtasia to produce a dynamic and concise video in 4 minutes and 45 seconds length emphasizing high-energy moments, inspirational quotes, enthusiastic reactions from attendees, and compelling visuals of the event.

  6. Reviewed the sizzle reel with key stakeholders, including the marketing team and senior executives, to gather feedback and make necessary adjustments.

  7. Launched the sizzle reel on the company’s website, social media channels, and in follow-up emails to attendees, ensuring wide distribution and visibility.

  8. Collected and analyzed viewer feedback and engagement metrics to assess the impact of the sizzle reel and inform future promotional strategies.


Result: The sizzle reel received positive responses across various platforms (e.g., company website, newsletters, social media, etc.) within the first two weeks of its release. Engagement metrics showed a 50% increase in social media shares and a 35% increase in positive feedback from attendees, who appreciated the recap and felt more connected to the event.


The promotional call-to-action resulted in a 25% increase in early registrations for the next conference. Overall, the sizzle reel successfully captured the energy and highlights of the customer conference, effectively promoting future events and providing attendees with a memorable keepsake.
